Affiliate web sites use conference planning components to save time and costs

The web site for the Utah Public Health Association, at www.upha.org, serves both public and internal association needs.

Routine association functions are covered well by the sections of the web site:

NEWS: news items, online newsletters, etc.; MEMBERSHIP: forms, how to join, our ListServer, etc.; COMMITTEES: committee plans and reports (chairs edit their sections, posting plans and reports; financial information also posted by committee); and LEADERS: contact information, email links for UPHA officers, board members, and committee chairs;

Our CONFERENCE section has been enhanced to include component planning and web resources for our annual conference. The unique Conference Planning functions included in these web resources have been used to plan the last four years of annual conferences with almost effortless participation of many contributors statewide. Committee members enter the protected portion of the site to add to the program agenda, post presenter information, and finalize conference details. Meanwhile, the public can view the developing conference program, check hotel and facility information and register online. This has saved hours of data entry, reduced costs of copying and distributing information, simplified financial tracking, report and nametag printing and other related conference costs. These systems also generate the "day-of" program, ID badges, exhibitor lists and detailed lists of pre-registered attendees.

Learning Objectives: At the conclusion of the session, the participant (learner) in this session will be able to: 1. Identify affiliate functions that could be managed via a web site. 2. Apply elements of UPHA's web site to related functions in other affiliates. 3. Evaluate the feasibility of using applications for conference planning by other affiliates. 4. Identify 10 conference planning components used in this web application. 5. Explain the "component planning" construct described in this session.
