Electronic entry of Arkansas's statewide BMI assessment: Transitioning from paper to an innovative web-based system

Arkansas conducts annual body mass index-for-age (BMI) assessments for all public school students, confidentially reporting results to parents. In years 1–2, we collected data on students using paper forms, performed data entry and generated confidential child health reports (CHRs) that were sent to parents. In year 2, we tested an electronic data entry system in 11 schools; nurses reported the process was easier and recommended it implemented. Now in year 3, we are piloting the web-based program in 211 of the state's 1109 schools. The program offers schools three independent options for performing BMI assessments. 1. Assessment data are directly entered into the web-based program using laptops. 2. Pocket PCs are used to enter assessment data; data are later uploaded into the program. 3. Data are entered onto paper forms, then subsequently entered into the web-based program. After data are entered into the program, confidential CHRs are automatically generated and can be printed for individuals, a grade, or all students in a school. All options give schools control over students' health records and enable immediate production of CHRs and school and district reports. This process allows schools to provide parents with current, accurate, and essential health information on their children. Based on reports from schools participating in the pilot program, the web-based program is easier and faster than the previous paper process. In the future, electronic data entry may become the standard not only for BMI reporting to parents but also for all health screens performed in public schools.
